Aims
To improve current work process of recordkeeping of Quality Control documents in BMD services by adopting Robotic Process Automation (RPA) and technology.
Background
Quality control (QC) forms are crucial in recording QC activities carried out in maintaining equipment conditions. NHGD performs approximately 10 QC procedures monthly per center, across 20 satellite imaging centres in Singapore, using conventional hardcopy QC form for many years.
Methods
The implementation was made under a pilot group, BMD modality, in the month of January 2023, and was monitored for 12 months. Softcopy QC form was proposed as the workaround to overcome the issue. Excel formula has been adopted in the form creation, which allows auto-generation of dates based on month and year selected, together with auto-highlight of non-working days.
Results
Staff experienced time reduction to prepare a new QC form template for yearly usage from 157 mins to 2.5 mins per form. There is a 44.06% reduction of the number of job printing for QC documents after implementation. Cost and time were saved in dispatching from one centre to another centre for endorsement.
Conclusion
The post-implementation workflow has become the current practice in BMD modality and is in consideration of spreading to other modalities within the department.
Lessons Learnt
Transformation process requires the department to strategise resources and consider long term planning. Re-evaluate the current process in place for any improvements. Successful new project/system implementation requires users to engage and provide suggestions and obtain consensus during the change management process.
