Aims
Enhance productivity and efficiency by reducing turnaround time, encourage timely and efficient incident reporting, and raise awareness about the significance of a safety culture within the organization.
Background
Before August 2023, SATA CommHealth used hardcopy forms across 12 clinics for incident reporting. The manual process led to delays, lost forms, and a negative reporting culture.
Methods
Developed an electronic incident reporting system that allows secure digital submission, improves traceability, and ensures timely reporting. The system was developed with multiple rounds of user acceptance testing.
Results
Incident reporting increased fourfold due to ease of reporting and improved safety awareness. Turnaround time improved from two months to within 14 days.
Conclusion
The electronic system successfully improved reporting efficiency. Future enhancements include expanding accessibility and refining the user experience.
Lessons Learnt
Digital transformation enhances efficiency, reduces paper use, and improves data security.
