Aims
The goal is to reduce the amount of paperwork required by the Centre staff to generate reports by 50% and to create a centralised dashboard that shows a macro view of seniors' attendance, programme details, and performance at the AAC, cluster, and network levels.
Background
Active Ageing Centres (AACs) are drop-in socio-recreational centres that extend support for seniors in the community. In addressing the rising demand for community-based senior care, our AACs had to confront the challenges of manual data collection processes and a lack of actionable insights. Prior to the digitalisation, the annual total administration hours taken for daily operations and reporting was estimated to be around 6,657 hours. This manual process presented several inefficiencies and challenges in operations, such as data error and inconsistency, and Centres could not conduct sufficient analyses to drive operational excellence.
Methods
Applying the agile methodology, the team piloted the first version of the Online Programme Registration (OPR) tool to gather feedback from ground level staff. After further finetuning and follow-up testing, the OPR tool was launched in our AACs islandwide. With the implementation of the OPR tool, our in-house Data and Analytics team then proceeded to build the programme dashboard, leveraging the data collected through OPR.
Results
Total saving of 3,328 hours per year. Greater focus on senior-centricity. Data-driven decisions on programme offerings. Timely tracking of Centre effectiveness. Improves data readiness for other data analyses in the future.
Conclusion
The digitalisation of AACs through the OPR tool and programme dashboard has successfully reduced administrative hours and enhanced data-driven decision-making.
Lessons Learnt
The implementation of digital tools can significantly reduce manual processes and improve data accuracy and operational efficiency.
