Aims
To address inefficiencies and wastages in the physical storing of patient's documents and files by digitalizing the process using existing resources at zero implementation cost by 1st April 2023.
Background
Physical storing of patient's documents involved printing hardcopy forms for financial counselling during admission, filing them, and manually retrieving them for billing and archiving, which was inefficient and costly.
Methods
A SharePoint site 'Admission' was created for mutual access by BO and AR teams. Documents are uploaded into sub-folders organized by Financial Year, Month, Admission Date, and Patient's Folder. Forms requiring original signatures are printed and scanned post-admission. All documents are merged into a single encrypted PDF and uploaded to SharePoint.
Results
Significant reduction in papers printed and elimination of physical storage of patient files, leading to cost savings and increased work process efficiency. Retrieval of documents is now instantaneous via SharePoint.
Conclusion
The digital transformation project successfully reduced inefficiencies and wastages, aligning with environmental goals and data protection regulations.
Lessons Learnt
The project demonstrated the benefits of digital transformation in reducing costs and improving efficiency, with positive feedback from users about reduced paper usage and improved data management.
Future opportunities include automating financial counselling processes and using SharePoint features for better identification of patient schemes.
