Aims
To automate the traditional compliance review process to improve hospital vendor management through the CReDA initiative.
Background
The reliance on third-party vendors for specialized and labor-intensive functions necessitates effective vendor management to guard against non-compliance and quality risks, impacting patient care service and safety standards.
Methods
Data analytical platforms like Microsoft Excel and Python were used to develop automation tools. Developers conducted interviews with process owners to gather requirements, tailored tools to specific needs, conducted testing, and sought feedback for iterative enhancements. The validated toolkit was handed over with training and support resources.
Results
The automation enabled by CReDA significantly improved operational efficiency within NUHS, reducing task time from a day to less than five minutes and saving approximately 2960 manhours annually across all NUHS PHIs.
Conclusion
CReDA offers a tool for effective monitoring of vendor performance, ensuring service level agreement delivery. It promotes vendor partnership by providing actionable suggestions and uncovers weaknesses in internal control.
Lessons Learnt
The simplicity of CReDA bolstered sustainable adoption and transformed innovation into genuine practice change. It also highlighted the importance of managing public resources efficiently.
