Aims
The workgroup aims to (1) reduce non-direct patient care time by junior PTs and OTs by 30% and (2) improve staff satisfaction with work processes.
Background
An Allied Health Workgroup was established to evaluate challenges and inefficiencies in the daily work processes faced by inpatient physiotherapists (PTs) and occupational Therapists (OTs) to enhance value-based therapy services through optimisation of inpatient work processes.
Methods
A time motion study was conducted to identify the time spent on Non-Direct and Direct Patient Care. Interventions were planned and implemented in phases for each focus area separately, with staff pulse surveys used as a measure of change.
Results
A 13-minute reduction in Non-Direct Patient Care activities per patient was achieved, exceeding the 30% target. Time savings resulted in a 16.7% increase in Direct Patient Care. Staff reported high satisfaction scores, and the initiatives resulted in an estimated annual cost avoidance of SGD $1,110,037.00.
Conclusion
This systematic transformation, driven by ground-up solutions and staff-led process improvements, achieved significant time savings and cost efficiency. Successful integration of standardised staff-designed workflows and tools demonstrates a sustainable model for allied health service delivery.
Lessons Learnt
The majority of time-savings were attributed to improved work processes for Documentation. Staff pulse surveys yielded high satisfaction scores, and time savings equated to a 1-hour reduction in staff work beyond office hours.
