Aims
Automate Microsoft Teams (Auto-Teams) creation and management based on the NUHS organization structure, improving efficiency, collaboration, and cost savings.
Background
The manual process of creating and managing Microsoft Teams was inefficient, requiring extensive administrative effort. The Auto-Teams system streamlines team assignments using dynamic rules and Active Directory attributes.
Methods
Developed a structured mapping system aligning staff directory data with Teams creation rules. Integrated 10 additional Active Directory attributes for dynamic team assignments, ensuring real-time synchronization with organizational changes.
Results
Auto-Teams adoption resulted in a 51.34% increase in file usage, a 490.94% increase in active file counts, and an 11,771 MB increase in storage use. Estimated cost savings of at least $760,818 over five years.
Conclusion
Auto-Teams significantly enhances collaboration and workflow efficiency. Future developments include mobile integration with Viva Engage and wider adoption across NUHS.
Lessons Learnt
Automation in enterprise collaboration requires structured governance and continuous refinement. Integrating SharePoint and mobile accessibility will enhance future adoption.
