Aims
To reduce the time spent and errors by 50% through the use of IT to automate the registration process for PPE training.
Background
Manual registration for PPE training took 120 minutes per month and had 5 transcription errors on average. During COVID-19, demand surged, exacerbating inefficiencies.
Methods
Used Design Thinking to develop and test an automated online registration portal. The portal automatically collates participant details and reduces manual intervention.
Results
Time spent reduced by 92% (from 120 minutes to 10 minutes). Errors eliminated. ICT managed thousands of registrations during COVID-19 demands efficiently.
Conclusion
Automation significantly improved efficiency, accuracy, and scalability of PPE training registration, supporting pandemic demands.
Lessons Learnt
Anticipating user queries and providing support post-launch accelerated adoption. Involving less IT-savvy employees earlier could reduce anxiety about system changes.
Additional Information
Manpower savings of $1,293.60 annually achieved; automation reduced frustration and improved staff preparedness.
