Aims
The project aimed to implement a secure and centralised Document Management System to automate invoice processing for Accounts Payable (AP), reducing inefficiencies and delays.
Background
Manual invoice processing was ineffective and time-consuming, leading to document loss and re-processing. The project was part of Ren Ci's digital transformation initiative to improve operational efficiency.
Methods
The project involved mapping existing workflows, selecting a suitable solution, configuring new workflows, and engaging stakeholders. It was implemented in phases across different nursing homes.
Results
The project reduced processing time from 20 days to 9 days monthly, enhanced productivity, improved document security, and supported environmental sustainability by reducing hardcopy usage.
Conclusion
The new system streamlined invoice processing, reduced delays and errors, and provided environmental and cost benefits.
Lessons Learnt
Commitment drives success, early stakeholder engagement is critical, testing avoids surprises, and phased rollouts ensure smooth transitions.
Additional Information
The project supports the organization's 'go green' initiative and is expected to achieve full implementation by December 2025.
