Aims
To address the time-consuming and error-prone manual handling of staff appreciation messages during Staff Appreciation Month (SAM), Robotics Process Automation (RPA) was implemented, ensuring efficient creation and distribution of e-cards while mitigating security risks associated with external internet solutions.
Background
Initially, the Worklife Unit managed the process manually, which was labor-intensive and inefficient. The use of external vendors was discouraged due to security concerns, prompting the need for an internal automated solution.
Methods
Implemented RPA to automate e-card generation and distribution, ensuring secure and efficient messaging.
Results
Reduced feedback regarding errors and delays in message delivery. Staff reported that the e-messaging feature was one of the top three aspects of Staff Appreciation Month.
Conclusion
The automated system successfully enhanced message distribution efficiency. Future plans include expanding its use for other appreciation initiatives.
Lessons Learnt
Automation reduces errors, saves time, and improves employee well-being by streamlining communication.
